These terms and conditions outline the rules and regulations for the use of Tiim Travel's Website, located at https://tiimtravel.com.
These Terms and Conditions govern the relationship between Tiim Travel (“we”, “us”, or “our”) and the customer (“you”, “your”, or “the traveler”).
By accessing this website, we assume you accept these terms and conditions. Do not continue to use TiimTravel.com if you do not agree to take all of the terms and conditions stated on this page.
1. Booking and Confirmation
Reservation: All booking requests must be submitted via our website, email, or official communication channels.
Confirmation: A booking is only considered confirmed once you receive a Booking Confirmation Email and the required deposit has been processed.
Accuracy: It is your responsibility to provide accurate passport details and travel information at the time of booking.
2. Payment Policy
To secure your premium travel arrangements and 5-star accommodations, Tiim Travel applies a seasonal payment schedule. Age is determined by the date of departure.
2.1. Peak Season (01 October – 30 April)
Due to high demand and strict guarantee requirements from our luxury partners:
Deposit: A non-refundable deposit of 30% of the total tour cost is required within 3 days of booking confirmation.
Final Payment: The remaining 70% balance must be settled at least 30 days prior to the departure date.
Late Bookings: For reservations made within 45 days of departure, full payment (100%) is required upon confirmation.
2.2. Low Season (01 May – 30 September)
During the low season, we offer enhanced flexibility for our guests:
Deposit: A non-refundable deposit of 20% of the total tour cost is required within 3 days of booking confirmation.
Final Payment: The remaining 80% balance must be settled at least 20 days prior to the departure date.
Late Bookings: For reservations made within 30 days of departure, full payment (100%) is required upon confirmation.
2.3. Holiday & Special Event Bookings
For journeys falling on Public Holidays (Lunar New Year, Christmas, New Year’s Eve, and Vietnam National Days), the Peak Season payment terms apply regardless of the travel month. In some cases, our 5-star partners may require full payment 60 days in advance; you will be notified of such requirements during the booking process.
2.4. Payment Methods
Bank Transfer: Details will be provided in your Pro-forma Invoice.
Credit Card: We accept major cards via a secure online link. Please note that a standard processing fee may apply.
Transaction Costs: All intermediary bank fees are to be covered by the sender to ensure the full invoice amount is received by Tiim Travel.
3. Cancellation and Refund Policy
At Tiim Travel, we strive to provide the most flexible conditions for our guests. However, because we work with premium partners who have strict booking commitments, the following cancellation fees apply based on the travel season:
3.1. Peak Season (01 October – 30 April)
During the high demand period, our partners apply strict guarantee policies. The following fees apply:
More than 45 days before departure: Loss of deposit only.
31 to 45 days before departure: 50% of the total tour price.
15 to 30 days before departure: 75% of the total tour price.
Within 14 days of departure or No-show: 100% of the total tour price.
3.2. Low Season (01 May – 30 September)
To encourage travel during the summer and autumn months, we offer more flexible terms:
More than 30 days before departure: Loss of deposit only.
15 to 30 days before departure: 30% of the total tour price.
07 to 14 days before departure: 50% of the total tour price.
Within 7 days of departure or No-show: 100% of the total tour price.
3.3. Special Notes for Luxury Cruises & Peak Holidays
Luxury Cruises: Some specific vessels may have their own cancellation policies which can be stricter than the general Tiim Travel policy. These will be clearly stated in your final booking confirmation.
Public Holidays: For bookings during Lunar New Year, Christmas, or New Year’s Eve, the Peak Season policy applies regardless of the calendar month, and additional surcharges may be non-refundable.
4. Child Policy
Tiim Travel provides family-friendly rates tailored to the type of journey you choose. Age is determined based on the date of birth relative to the departure date.
4.1. For Day Trips (Excursions & Short Tours)
Infants (0 – 1 year old): Complimentary (Free of charge).
Toddlers (2 – 4 years old): 30% of the adult price.
Children (5 – 9 years old): 75% of the adult price.
Ages 10 and above: Full adult price applies.
4.2. For Overnight Tours (Packages & Cruises)
To ensure comfort for your family, we offer two options for overnight stays:
Option 1: Sharing Bed with Parents
0 – 2 years old: Complimentary (Free of charge).
3 – 5 years old: 50% of the adult price.
6 – 9 years old: 75% of the adult price.
10 years old and above: Full adult price applies.
Option 2: Extra Bed / Rollaway Bed
0 – 2 years old: 50% of the adult price.
3 – 5 years old: 75% of the adult price.
6 years old and above: Full adult price applies.
Note: The availability of extra beds or rollaway beds depends on the specific hotel or cruise ship's cabin configuration. We kindly ask you to confirm your bed preference at the time of booking.
5. Passports, Visas, and Entry Requirements
Customer Responsibility: It is the traveler’s sole responsibility to ensure they possess a valid passport (with at least 6 months validity beyond the date of return) and all necessary visas, health certificates, or other travel documents required by the authorities of the destinations visited.
Limitation of Liability: Tiim Travel shall not be held responsible for any loss, damage, or expense incurred if a traveler is denied entry into any country or boarding of any aircraft due to invalid or missing travel documents.
Our Support: For your convenience, Tiim Travel provides professional Visa Services. Should you require assistance with your visa application, please contact our experts at the time of booking. Please note that visa approval is at the sole discretion of the respective embassy or consulate.
6. Force Majeure and Itinerary Changes
Force Majeure: Tiim Travel reserves the right to adjust the itinerary or cancel services due to "Force Majeure" events, including but not limited to: weather conditions (typhoons, floods), natural disasters, government regulations, or port authority orders.
Replacements: In such events, we will provide alternative arrangements of equal or similar value. If a service is canceled entirely, a refund will be issued minus any non-recoverable costs incurred by our suppliers.
7. Travel Insurance
Recommendation: Travel insurance is not included in our tour prices.
Requirement: Tiim Travel strongly recommends that all travelers obtain comprehensive travel insurance covering medical expenses, personal accidents, trip cancellations, and loss of luggage before departure.
8. Health and Safety
You must inform us of any pre-existing medical conditions, disabilities, or dietary requirements (allergies/vegan/halal) at the time of booking so we can ensure your safety and comfort.
9. Limitation of Liability
Tiim Travel acts as an intermediary between the traveler and service providers (hotels, transport companies, cruises). While we select our partners with the utmost care, we are not liable for any injury, loss, damage, or delay caused by the acts or defaults of any third-party supplier.
10. Complaints and Dispute Resolution
If you encounter any issues during your journey, please contact your Tiim Travel Experience Manager immediately. We are committed to resolving any concerns on the spot.
Any formal claims must be submitted in writing within 15 days of the tour completion.
